Streamlining the alternate format request and document conversion process is critical to delivering academic materials in an accurate and timely manner. Using Drupal, an open-source CMS, we have built an online request and document production tracking system for students and institutional staff.
Abstract
Disability service offices utilizing disconnected resources and file management systems increase the potential for erroneous document production or mismanaging the delivery of files to a student. Streamlining the alternate format request process and tracking the progress of material conversion is critical to delivering the requested materials in an accurate and timely manner.
Using Drupal, an open-source CMS, we have built an online request and production feature allowing students to make online requests and track the status of the conversion processes. In addition, the system provides managers the option to prioritize incoming requests, track the production status of individual jobs, and develop reports to assess the production workload. This presentation will outline the configuration of the Drupal platform and modules utilized for replication by other institutions.

Sean Keegan
Sean Keegan is the Associate Director for Assistive Technology in the Office of Accessible Education (OAE) at Stanford University. As a member of the OAE, Sean oversees the implementation and support of assistive technology for students with disabilities throughout the campus as well as on mobile devices. Sean also oversees the Alternate Format Production Facility that provides conversion services for textbook and academic materials into alternate formats for students with disabilities. Recent projects include the implementation of a Web-based, captioning workflow solution designed to simplify the process of creating captioned media and the development of SCRIBE, a Web-based alternate format platform for converting electronic documents into accessible formats.
